How Does the Production Process Work? Pre-Production to Delivery
Working with a production company for the first time can feel daunting. When does what happen? Who makes which decisions? At what stage is client approval needed? We've explained the process from scratch.
The production process is a structured workflow in which client and production company move forward together. Understanding this workflow helps manage expectations correctly, reduces surprises and makes it easier to complete projects on time and on budget. A professional production company keeps its client informed at every stage and clearly defines approval points.
Stage 1: Pre-Production
This stage begins once the project is confirmed and includes: script/storyboard development, location scouting, casting (model/actor selection), equipment and crew planning, shoot schedule creation and client approvals. Pre-production takes 30–40% of total project time but is often underestimated. Investment at this stage directly determines shoot day efficiency and post-production quality.
Stage 2: Production (Shoot Day)
Shoot day is where planning becomes reality and everyone works at maximum intensity. Director, director of photography, lighting crew, sound crew and production assistants work in coordination. Having a client representative on set is recommended — but the key is giving brief-based approvals rather than making creative decisions on the fly. Major scope changes made on shoot day negatively affect both budget and timeline.
Stage 3: Post-Production
Raw footage and audio recordings are brought to their final form in this stage. The steps are: editing, colour grading, sound design and mixing, graphics and animation, subtitles and language versions, and final output formatting. Clients typically give feedback at the first rough cut stage; the revision process then begins. Most contracts allow 2–3 revision rounds.
